This document explains how you can add a new customer and edit/delete an existing one in the Back Office.

To create a new customer:

1. Go to Back Office > Customers > Customer list.
2. Tap the Add Customer + button.

3. Fill in the Add Customer form. Note that the Name and Email fields are mandatory.

4. Once you’ve filled out the form, tap Save. Now you can see the new customer in your customer list.

To edit an existing customer profile or delete it:

5. Go to Back Office > Customers > Customer list.
6. Find the customer that you want to edit/delete and simply tap it.
7. In the Edit Customer form, you can make the necessary changes. The fields that can be edited are name, phone, email, customer code, birthdate, note, address and points.
8. Tap Save after you’re done.

9. To delete a customer profile, repeat the steps 5 and 6. Then tap the red Trash button and tap Confirm in the dialog box that pops up.

A customer profile can be deleted only via the Back Office. Alto’s POS users with access to only the Point of Sale interface are unable to delete customer profiles.

1. From the Back Office interface go to Customers > Customer list > and click it.

2. Select a customer from the list and tap the red Delete button at the top right corner.

3. Tap Confirm in the pop-up dialogue box to delete the customer profile.

Once charging is completed for the sale, you can enter the customer’s email to ‘Email’ field and tap ‘Send receipt” button to send a copy of the receipt to the customer.

1. Check that the email is typed correctly and all symbols are in place to make sure that the receipt is delivered to the customer.

After the success message “Succeeded”, tap Complete to start a new sale.

2. In case if you have already tapped Complete and returned to the Point of Sale interface, go to Receipts and click on a receipt from the list to email its copy to the customer.

From the popup window, click the vertical ellipsis (⋮) on the top right corner and choose action “Send receipt”.

3. Type in the customer’s email address correctly and tap “Send”.

Note:

All email addresses entered to send a copy of the receipt to the customers are not stored in the customer database.

Given that you have a loyalty program set up in Alto’s, you can offer your customers to redeem their bonus points when making a purchase or paying a bill.

To redeem earned points for a discount:

1. Go to the Point of Sale and create a ticket.

2. Tap the Add customer icon in the upper right corner of the ticket area.

3. Select the customer from the list and tap Done. Use the search bar if necessary to find the customer by name, email or phone number.

4. A new red icon (i.e. Customer icon) will show up instead of the Add customer icon. Tap on this icon and select the Redeem points option. Here you can see the total number of points available.

5. Ask the customer and enter the number of points to be redeemed using the pop-up number pad.

6. Once you tap Save, the purchase (or bill) amount is re-calculated taking into account the points to be redeemed. The value to be redeemed shows up in the discount line.

7. Now you can proceed with the sale as usual.

A customer loyalty program is a marketing strategy that rewards loyal customers that frequently use your products or service. By rewarding recurring engagement, you can increase customer loyalty and ensure continuous growth for your business.

1. From the Back Office interface, go to Settings > Loyalty.

2. Edit the ‘%’ field according to your preference to set the percentage of the purchase amount to be credited to the points account of the customer and tap ‘Save’.

Now you have set up your Loyalty program and your customers can collect bonus points and enjoy using your products or services.

Adding a Customer via Back Office

1. From the Back Office interface go to Customers > Customer list > and tap Add Customer button.

2. Fill in the Customer profile and tap Save.

3. Next, you will see a new customer profile added to your Customer list.

Adding a Customer via POS interface

New customer profiles can be created during a sale via Ticket Area in Alto’s POS.

1. From the Point of Sale interface go to the top right corner of the Ticket Area and tap Add Customer icon.

2. Next, tap the Add Customer button on the bottom of the pop-up window.

3. Fill in the Customer profile and tap Save.

4. Now, you have successfully added a new customer profile to your customer list.

Working with Customer List via the Back Office

1. From the Back Office interface go to Customers > Customer list > and click it. To create a new customer, tap on the Add Customer button.

2. In the Add Customer form, fill in the must be filled fields such as, ‘name’, ‘phone’ or ‘email’. Also, you can insert a note about the customer in the note field. Tap Save to create a new customer profile.

3. Tap on the customer names from the customer list to make changes to existing customer profiles.

4. In the Edit Customer form, you can update or change customer details. Tap Save to update profile or tap Delete to erase customer profile from your customer list.

Working with Customer List via the Point of Sale interface during a sale

1. From the Alto’s Point of Sale interface go to the top right corner of the Ticket area and tap on Add Customer icon.

2. Tap on the green information icon next to a customer name to open the customer profile.

3. Tap on the Edit button on the top right corner to open the Edit Customer form.

4. Next, update or change customer details. Tap Save to update profile or tap Delete to erase customer profile from your customer list.

Service charge is an additional charge collected to pay for services related to the primary product or service being purchased — called also service fee. Typically in the restaurant business, it is a percentage of the total bill, often instead of a tip.

How to set up a service charge

1. Go to Back Office > Settings > Service charge.
   

2. Tap Service charge to open the form. Fill in the name field.
   

3. Choose the service charge type (percentage or fixed amount) and enter the value.
   

4. If you would like certain products to be exempt from service charges, you can do so by selecting them from the Do not apply to… list.
   

5. Next, under the Auto apply section you can
   1. set a threshold amount above which a service charge will be automatically applied;
      

5. select dining option(s) for which the service charge will be automatically applied.
   

6. Alternatively, you can deactivate the Auto apply toggle to manually apply service charges only when needed.
7. Lastly, leave the toggle Access to all locations activated so that you can apply service charge at all of your available locations. Or you can turn it off to select only certain locations.
   

8. Save your changes once you’re done.

How to apply a service charge on a sale

9. Go to Point of Sale > Sales.
10. Service charge is calculated and applied automatically to the subtotal of the products, provided that the Auto apply option (see step 5) is enabled.
    

11. If you change your mind and don’t want to apply a service charge to an order, you can remove it by tapping the Service fee line in the ticket area and unchecking the box.
    

12. The same action can be performed by tapping the vertical ellipsis (⋮) at the upper right corner of the ticket area and selecting Service charge.
    

13. If you have a service charge set up but Auto apply is disabled, to manually add a service charge to ordered products, do the same action as in the step 12 above after creating a ticket. Then check the Service charge box.
    

14. Now in the ticket area you will see the line Service fee with the amount of the service charge.
15. Proceed to checkout as usual.

Service charges report

This report allows you to view information about the amount of service charges applied by your employees. To view the report:

16. Go to Back Office > Reports > Service charge.
17. You can apply filters by date, location and/or employee to narrow down the data if needed.
18. The report displays following data for each employee:
    1. gross sales affected by service charges;
    2. total number of receipts affected by service charges;
    3. distribution of service fees according to pre-set percentages;
    4. total amount of service charge applied.
       

1. Service fee distribution percentages can be configured by tapping the gear icon in the upper right corner of the report.
   

How to set up Alto’s Customer Display System (CDS)

Here are the steps to set up a customer display system in Alto’s and start using it:

1. First, go to Back Office > Settings > Features. Toggle the Customer displays switch on and tap Save.

2. Then go to Back Office > Locations & Devices > CDS devices. Tap the Add CDS Device + button to add a new customer display device.

3. Enter a device name and select the POS with which the display will be paired. Tap Save.

4. Now download and open Alto’s POS & Inventory on the device that will serve as a CDS display.
5. On the Sign in screen, select Customer Display, then enter your email address and password to log in.

6. On the next screen, choose the added customer display from the dropdown list and tap Select.

7. All set.

8. Now all the details of orders accepted at the paired POS will be instantly displayed on this screen.

How Customer Display System (CDS) works in Alto’s

1. The left side of the customer display screen (Ticket area) instantly displays details of the order accepted at the POS.

2. The right side of the screen displays the name of the store (location) and the name of the employee serving the customer. Below is a field in which the customer can enter an email address to receive the e-version of the receipt.

3. If the sale is made to a customer who is already in the database, his email address will automatically show up in the email field.

4. As soon as the cashier completes the order, the customer will see the total amount, the amount of change and the number of points earned on the left side of the screen.

5. When the transaction is complete, the customer can simply tap the Send Receipt button to receive the e-version of the receipt in his/her email.
