A product label contains basic information about the product, such as name, SKU, unit price and barcode.

Use the following steps to generate and print product labels.

1. Make sure that your label printer is connected and set up properly in advance.
2. Go to Back Office > Products. Tap the (⋮) icon and select Print labels.

• On the Create labels screen, enter the label size (unit, width and height);

• Select the location to which the products belong;

• Select the source of the product information to be displayed on the label: barcode or SKU. You can choose the Barcode or SKU option to automatically display the one that is available, with the barcode taking precedence.

• You can check the Print name and Print price checkboxes to display the name and price of the product at the selected location respectively on the label.

• Now, tap (+) to make a list of the products for which you want to print labels. You can:
  • add products one by one under the Products tab;
  • add an entire category (Category) under the Categories tab;
  • or products assigned to a certain supplier (or suppliers) under the Suppliers tab.

• Enter the quantity of labels you would like to print for each product and tap Create.

• Check out the preview of your label.

NOTES:

• The parameters entered on the Create Label screen are remembered and offered by the system by default the next time you open this screen to print new labels. They can be changed if necessary.
• Labels for ingredients can be created in much the same way.
• Besides, product or ingredient labels can be printed when there is stock movement, such as purchasing, inventory transfer or stock adjustment. In such a case:
  • find and open the inventory document (purchase order, transfer order or inventory adjustment);
  • tap the (⋮) icon and select Print labels;

• the Create label screen opens with the items and the number of labels to print based on the data specified in the document;

• quantity can be changed depending on the number of labels actually needed for printing.
• Code 128 is used to generate barcodes.

Go to the Back Office to add a new ingredient. On the navigation menu, go to Products > Ingredients. Tap Add Ingredient to add a new ingredient.

Fill in ingredient details such as product name, unit, price, cost and category.

Input or scan your ingredient barcode. Enter a custom SKU or use a system-generated SKU.

Enable Track stock toggle if you want to track the ingredient in your inventory system.

Pick the Primary supplier from the dropdown list of existing suppliers and enter the Default purchase cost (this step is optional to ease your work while creating purchase orders for this ingredient).

Pick one or multiple Business locations for your ingredient. Enter the actual amount of the ingredient and its minimum low stock and optimal stock values. Tap SAVE.

You can pick the ingredient color, shape, icon or take/upload its image for better navigation on the screen. Tap Save to update the ingredient list.

Adding ingredients in bulk

In order to save time and add numerous ingredients at once, you can use Alto’s POS’ Bulk Upload feature.

Go to Products > Ingredients. Click the Bulk Import button to add ingredients in bulk. Choose Import by CSV or Excel, choose the file to be imported and click Upload.

Adding Ingredient Categories

To create a new ingredient category go to Products > Ingredients. Tap Add Category to add a new ingredient category.

Enter a category name and pick color, shape, icon or take/upload its image for easy navigation on the Ingredients screen. Click Save to add the category.

The low stock notifications feature is a part of the inventory management system that Alto’s offers to prevent out-of-stock issues for your ingredients and products. By enabling this feature, you can get notifications about low stock ingredients/products to your email.

To start getting email notifications about ingredients/products that are low or out of stock:

1. First, make sure that the Low stock notifications feature is enabled at your Back Office (normally, it is enabled by default). Go to Back Office > Settings > Features to check and if not enabled, then turn the Low stock notifications toggle on.

2. Next, go to Back Office > Products > Products > All. For ingredients, similarly, go to Back Office > Products > Ingredients > All.

3. Tap on the product on which you would like to get low stock notifications. Under the Inventory section, switch on the Track stock of product toggle if it’s not switched. Here, additionally, you can select the primary supplier of your product from the list of existing suppliers and enter the Default purchase cost per unit, if applicable.

For ingredients, similarly, tap on the ingredient on which you would like to get low stock notifications. Under the Inventory section, switch on the Track stock of ingredient toggle if it’s not switched.

4. Then, under the Business locations section, tap on the relevant business location. In the popup window:
   1. enter/edit the product price for that location (this field is not available for ingredients);
   2. enter/edit the actual product/ingredient stock quantity in the In stock field;
   3. enter/edit the optimal product/ingredient stock quantity in the Optimal stock field. With an optimal stock quantity, the system automatically calculates (optimal stock minus actual stock) and recommends the order quantity when you create a purchase order for this product/ingredient;
   4. enter/edit the quantity at which you want to be notified about low stock in the Low stock field;
   5. Tap Save once you are done.

5. Don’t forget to save your changes before leaving the product/ingredient page.

6. Now you will start getting daily notifications about low stock products/ingredients to your email.
7. To check the current level of your stocks in real-time without waiting for a notification, go to Back Office > Products > Products > All, where under the In stock column you can see stock levels of products with Track stock function. Products with low stock or no stock at all have corresponding notifications in red (“Low stock” or “Out of stock”). For ingredients, the steps are similar (Back Office > Products > Ingredients > All).

8. Making changes, as in the example above, for each product one by one can be time-consuming. To make it easier, you can do it in bulk.
9. Export the product/ingredient list in .CSV or Excel format and open it to edit.

10. Make necessary changes in the Track stock, In stock and Low stock columns for each product. Note, that Y and N under the Track stock column stand for enable track stock and disable track stock, respectively.

11. Once you have finished editing, save and import the updated file back to the system.

Note: The Variants feature is applicable only for retail-type businesses.

Creating variants

1.     Go to Back Office > Products > Products. Tap on the product to edit or create a new one.

2.     Once you toggle on the Variants switch, you will see 2 default parameters with variations: Size and Color. They are given by the system by default as a clue to how parameters and their variations should look like.

3.     Set parameters according to your needs:

a.     Change the name of the parameter(s) in the Option name field;

b.     Add variations (or values) by tapping (+) and/or delete unnecessary ones by tapping the Delete icon;

c.     Add new parameter(s) by tapping the Add Option button or delete existing one(s) by tapping the red Delete icon. Note that the system allows only up to 3 parameters.

4.     Now tap the Add Variant button to generate variants manually.

5.     OR, tap Generate Variants to generate all possible variants automatically.

6.     The system will output the list of generated variants. The price and cost data of all variants automatically come from the parent product and SKU numbers are automatically generated by the system.

7.     You can edit a variant (price, cost, SKU, barcode and business locations) or delete it by tapping on it.

8.     During the process of editing a variant, you can also tap on the business location to enter the In stock, Low stock and Price figures for that specific business location. The Track stock feature should be enabled for the product to be able to do this.

9.     Save the product.

Selling Products with Variants

1.     Go to Point of Sale > Sales. Find and tap on the product with variants to add it to the ticket.

2.     In the window that pops up, select the desired product variant. Proceed to the next steps as with usual sale and tap OK.

3.     You can now see the product with the selected variant in the ticket.

4.     Proceed to checkout as usual.

5.     To view the sales figures of the product by variants, go to Back Office > Reports > Products. Sales figures of each variant are provided under the total sales figures of the parent product.

Go to the Back Office to add a product. Select the Products menu. Tap Add Product to add a new product.

1. In the Add Product form, go to option ‘Sold by’ and choose option sold by weight/volume (kilogram, pound, liter, etc.).
2. Enter the product price per one liquid measure. For example, by indicating the measure in the name of the product, such as “Apple Juice 1L”. Save changes.

3. When selling a liquid product, you will see a pop-up number pad on the screen. You can enter the proportionate amount to a liter of the product and tap Save.

For example, your measure is set to a liter and you are selling 500 ml of the liquid product. In this case, you indicate 0.5 in the quantity field and tap OK.

4. Next, you will see your product added to the ticket. The price will be shown as price per liter multiplied by the actual selling portion indicated via number pad. The sold amount of the liquid product is further deducted from the stock.

1. To create a discount on Alto’s POS, go to the Back Office > Products > Discounts. Tap Add Discount button.

2. Enter the name of the discount.

3. Choose the type of discount (Percentage or Amount). A Percentage discount is applicable to both ticket’s total amount and individual products, whereas an Amount discount can only be applied to ticket’s total amount. Also note that all discounts are applied before taxes.

4. Next, enter the discount value (percentage or amount). Or, you can leave the field blank if you want to apply an individual discount upon sale.

5. Turn the toggle on to grant permission to apply this discount to only those employees who have appropriate access rights.

6. Choose location(s) from the dropdown list at which you want this discount to be available or turn the toggle on to activate it automatically at all locations.

7. Click Save. Now you are set to apply the discount to your sales.

Viewing, editing or deleting an existing discount

1. Go to Back Office > Products > Discounts to view the list of all discounts.

2. Tap on the specific discount to see its details. To edit a discount, tap on it. Make necessary changes in the details. Then tap Save to finish editing.

3. To delete a specific discount, tap on it. Then tap Delete.

To create a composite item, first make sure that you already have all the components in your list of products/ingredients (learn more about creating a product or an ingredient). Then follow the steps below:

1. Go to Back Office > Products > Products. Tap Add Product.

2. Fill in the basic product details as usual.

3. In the Inventory section, toggle on Composite item to specify the product components.

4. Click (+) button and choose the component(s) from the list of ingredients and products.

5. Then tap on each component to specify (or edit later) the gross and net quantities used to prepare the product.

6. Once you enter all the components, the system automatically calculates the unit cost of the product. The system also adjusts inventory of its component(s) each time the product is sold if the Track stock option is enabled for the component(s). Additionally you can type in information on how to prepare the product and specify cooking time as a guide for the kitchen staff, available only on KDS (Kitchen Display System).

7. Proceed to the following sections as usual and tap Save to save the product.
