How to Log Out via the Alto’s POS

1. From the Point of Sale interface go to Account and tap the Sign Out button to exit from your account.

As a default, the All Products area displays all your products in an alphabetical order. By creating custom pages and naming them according to your needs, you can organize all your products into logical groups.

1. To create a custom page, tap on Page 1 on the bottom of the All Products area.

2. Tap and hold on any empty square containing (+) sign in the Page 1 area.

3. Next, the screen will switch to the Product Layout Setup mode. Tap any square containing (+) sign, where you want to place your product.

4. In the new window, you will see a list of all your products in Alto’s POS.

5. Next, you can perform a search for a specific product or choose it from the list and add it to the selected square on the Product Layout Grid.

6. By repeating the same actions, you can add Categories and Discounts to the Layout grid.

Organizing Pages

1. When you are in the product layout setup mode, tap on a Pen icon next to Page 1 at the bottom of the screen and change its name.

2. In the ‘Change name’ editing screen, fill in the ‘name’ and tap ‘Submit’.

3. Tap the (+) sign next to a page name to create a new page.

4. Tap ‘Done’ to save changes to the layout.

1. To start configuring taxes, go to Settings > Tax. Tap on the Add Tax button.

2. In the Add Tax form, enter a name and tax rate. Next, specify the Type of tax from the drop-down list: ‘Included in the price’ or ‘Added to the price’.

3. Tap the ‘Apply tax to items’ field and select items to which this tax should be applied.

4. Next, switch the ‘Apply to new items’ toggle on, if you prefer to apply this tax to new items automatically.

5. Tap on ‘Access locations’ to choose specific business locations and tap OK or switch ‘Access to all locations’ toggle on to apply settings to all your business locations (or stores).

6. Tap the Save button to add the new tax to your taxes.

2. Go to the Logo section of the ‘Add Receipt Settings’ form.
   1. Tap on the Image icon below ‘Emailed receipt’ to upload a color version of your logo, which will be used for receipts sent by email.
   2. Tap on the Image icon below ‘Printed receipt’ to upload a black and white version of your logo, which will be used for receipts sent to the Receipt Printer. A color image uploaded in this field will automatically be converted to a black and white image by the system.

3. You can upload custom logos for each of your business locations (or stores) by choosing it from the drop-down list in the ‘Location’ area of the ‘Add Receipt Settings’ form.

4. From the ‘Preview’ section, tap on the drop-down list to preview your receipt logo for ‘Emailed receipt’ and ‘Printed receipt’.

Note: To remove the logo from the receipt, tap on the Trash icon next to the uploaded image in the Logo section.

With Alto’s, you can apply cash rounding according to the general practices accepted in your country. This feature is not applicable for other payment types.

To set up cash rounding:

1. Go to Back Office > Settings > Payment types. Tap Cash.

2. In the Edit payment type screen you can see that 0.01 is set up by default.

3. Tap on the Rounding section and pick an appropriate rounding interval with an appropriate rounding rule, if applicable, from the drop-down list. The system offers 5 different rounding intervals (0.01; 0.05; 0.10; 0.50; 1.00) with different rounding rules (except for 0.01).

4. Once you pick one, you will see how the chosen rounding rule works below the Rounding section (except 0.01). You can test the rule by entering decimal variations before saving.

5. Tap Save to save the setting.
6. From now on the system will round the ticket amount according to the rounding rule you have chosen.
7. Go to the Point of Sale to make/complete a sale. Given that the order/ticket is ready, tap Charge and you can see the Cash received value rounded based on the chosen rounding rule.

8. Once you enter the actual cash amount received, the system will calculate the change based on the rounded ticket amount.

9. Similarly, the receipt will contain information about the rounding and rounded version of the sales amount.

10. Also, note that the Sales by Payment Type report will reflect information about the rounding.

To do this:

1. Go to Back Office > Settings > Custom receipt.
2. Tap to open the Default receipt template, which is applicable if there is no template for a specific location. OR, if you want to design a custom receipt for a specific location, then tap the Add Receipt Template button.

3. Now you’re on the Edit Receipt Settings page, where you can customize your receipt within the capabilities that the system provides.

Add company logo to your receipts

In Alto’s, you can add your own company logo to be displayed on receipts. Follow this link to learn more about adding a custom logo to your receipts.

Add header and footer to your receipts

With Alto’s, you can turn your receipts into a personalized marketing tool. Make the most out of your paper or email receipts by adding a custom header and/or footer to your receipts. To do this:

4. On the Edit Receipt Settings page, enter your marketing messages in the Header and Footer fields.
   Tap Save when you’re done.
   You can preview the real look of your customized receipt on the right side of the screen (both print and email).
   If you have multiple locations and you want to design a custom receipt for each of them, then you need to undertake the steps described above for each location separately.

Show customer info and comments

By default, customer info and comments on orders entered at sales are not displayed on receipts issued to customers (both printed or emailed). This information can be viewed only by authorized Alto’s users at the Back Office or Point of Sale. However, you can customize your receipt template so that this information is displayed on the customer receipts (both printed or emailed).

To do this:

5. On the Edit Receipt Settings page turn the Show customer info and Show comments toggles on.
   You can preview the customized receipt on the right side of the screen.
   Tap Save when you’re done.
   If you have multiple locations and you want to design a custom receipt for each of them, then you need to undertake the steps described above for each location separately.

6. Now, if you sell to a customer that is in your database or enter comments on order items, the information will appear on the receipt when you print or email it.

7. For more customization, on the Edit Receipt Settings page, tap Show more at the bottom of the left screen:

9. By default, the Show location name toggle is on. You can disable it in order not to remove the location name from the receipt.

10. By default, the Show total amount in header toggle is on. You can disable it in order not to show the total amount in the header line of the receipt.

11. By default, the total amount of the ticket is not displayed on the bill. By turning on the Show total amount in header (Bill) toggle, you can choose to display the total amount in the header line of the bill.

Note: To preview the look of your bill, choose Bill from the drop down list at the top of the left screen:

12. By deault, the date and the number of the receipt are displayed at the bottom of the receipt. Should you want to display this information at the top of the receipt, toggle the Date at the bottom switch off.

13. By default, the Use light version toggle is on. When the light version is on only quantity and subtotals are displayed and printing/sending email is faster.

If you disable Use light version details of the order, such as quantity, unit price and subtotal are displayed.

14. By default, the receipt is displayed in the language that is chosen in the main Settings (Back Office > Settings > Account). You can change the receipt language to the one available in the system.

15. You can add custom rows on your bill by enabling the Custom rows for bills toggle:

Tap the green (+) button to add custom rows. Custom texts can be entered in both the right and the left fields, if necessary.

16. Don’t forget to tap Save every time you’re done making your changes.

Follow the steps below to start using Shifts.

1. Go to Back Office > Settings > Features and enable the Shifts toggle and tap Save.

2. Now, go to Point of Sale > Shift. Tap Open Shift.

3. In the popup window enter the starting amount that the cash drawer contains and tap Open Shift.

4. The details of the shift (location, POS, shift opening date and time, cash summary & sales summary, etc.) will appear on the next screen.

5. Pay-ins and payouts during the shift can be recorded by using the Pay In and Pay Out buttons on the shift page.
6. For instance, if you want to add $30 cash into your cash drawer which came for a reason other than a sale, then go to the shift page and tap Pay In.
7. Enter the amount and your comment, if necessary, and tap Pay In.

8. The amount instantly shows up in the shift details as Paid in.

9. Similarly, if you want to withdraw some cash (for example, $35) from the drawer, then go to the shift page and tap the Pay Out button.
10. Enter the amount and your comment, if necessary, and tap Pay Out.

11. The amount paid out instantly shows up in the shift details.

12. At the end of the day, tap the Close Shift button to close the shift.

13. A Close Shift window will pop up where you can see the expected cash automatically calculated by the system and an empty field where you must enter the actual amount of cash in the drawer. The system will display the difference (overage or shortage) as soon as you enter the actual cash.

Should you want to restrict your employees (eg. your cashiers) from viewing shift details:

14. Go to the Back Office > Users > Acces rights.
15. Simply tap the user role (in this case, the Cashier) to open the Edit Role screen, uncheck the View shift report checkbox and save your changes.

16. Now your employees who are assigned the Cashier role cannot view shift details, but can and should only enter the actual cash amount when closing a shift.

Here are the steps on how you can set up and start using Alto’s KDS in your restaurant.

1. How to set up Alto’s Kitchen Display System (KDS)

1. First, go to Back Office > Settings > Features. Toggle the Kitchen printers switch on and tap Save.

2. Then go to Back Office > Locations & Devices > KDS devices. Tap the Add KDS Device + button to add a new kitchen display device.

3. Enter a device name, select the location and the right station to which the display will be connected. Tap Save.

4. Now download and open Alto’s POS & Inventory on the device that will serve as a KDS display.
5. On the Sign in screen, select Kitchen Display, then enter your email address and password to log in.

6. On the next screen, choose the added kitchen display from the dropdown list and tap Select.

7. From now on, orders are instantly displayed on the screen as tickets, provided that the correct station has been selected for the ordered items (i.e. the same as that selected for the current KDS).

2. How to work with Alto’s Kitchen Display System (KDS)

8. As indicated in step 7, orders are routed to the back-of-house via stations in Alto’s KDS. Hence, before starting to work with KDS, make sure that a correct station is selected for each product.
9. Below is an example of a KDS screen with orders on it:
   1. each ticket is displayed as a separate column;
   2. if a ticket is too long, items which do not fit on the screen can be viewed by scrolling down;
   3. if there are too many tickets, those that don’t fit on the screen can be viewed by scrolling to the right;
   4. an illustrative structure of all orders with their statuses can be viewed by tapping the left arrow button (<) in the lower left corner of the screen, where each horizontal bar represents one order item.

10. The system displays each ticket with its name, the time it was created, and the note entered.

11. Modifiers are displayed under product names.

12. The cook can start preparing the order by tapping the orange Start button, then tap the green Ready button as soon as the order is ready for serving.

13. When the cook taps Start on the kitchen display, a fire icon appears next to the order item at the Point of Sale, indicating that the order is being prepared. Likewise, when cooking is finished and the cook taps Ready on the KDS screen, the button changes to a green double tick. So does the fire icon at the Point of Sale.

14. If any order items are voided in a saved open ticket, the status of those items will be displayed as Canceled on the KDS screen.

15. Similarly, a new item added to an open ticket at the Point of Sale instantly appears with a new Start button under the same ticket on the KDS screen.

16. Fully completed tickets disappear from the screen.
17. Should there be a need to recall an already closed ticket, the cook can open the Recall window by tapping the history icon in the upper right corner of the screen and tap the necessary one from the list.
18. Tapping the Clear button will clear the history of completed tickets.

With Alto’s, billing is fast, easy and smooth.

To start using the “Print bill” function, first make sure that the “Open tickets” feature is ON (Back Office > Settings > Features) and your receipt printer is connected with Alto’s POS.

Now, create a new ticket (see How to Make Sales with Alto’s POS) and save it, or go to an open ticket (see Open Tickets). To print a bill, tap the printer icon. Alternatively, you can tap the vertical ellipsis (⋮) in the upper right corner and select Print bill from the drop-down menu.

NOTE: If you try to print a bill without saving the ticket, a Save ticket window will appear, where you can edit the ticket name, add a comment and tap Save to print the bill.

Alto’s POS has default presets for two common types of payment such as cash and card. You can add additional payment types according to your needs, which will enable you to view a detailed sales report for each payment type.

1. From the Back Office go to Settings > Payment Types and click it. Tap the ( + ) button to add a new type of payment.

2. Choose a payment type from the drop-down list and enter a unique name for each payment type, which will appear in the reports. Cash is set as the default payment type and cannot be edited. Tap the Save button to save your changes.

3. When completing a sale transaction in the Alto’s POS app, you can choose the type of payment as preferred by your customer.

4. Each receipt displays information about the payment type used to complete a sale transaction.

5. From the Back Office go to Reports > Payment Types to review your sales completed by each payment type you have created in your account.
